The notifications page allows researchers to create and delete custom email templates. You can access the notifications page by opening the main menu on the left, under Settings > Notifications.
1: Notifications Overview
The Notifications page contains the following components:
Email Notification Types: these tabs allow you to select a message type to review and customize. The following tabs are available: Digest message, Invitation, New message, New comment, New like.
Project Templates: Contains a list of the created templates for the selected message type and available template controls.
Project Template Preview: Displays a preview of the selected template. Users can also switch the language of the preview, if there are multiple languages in the project. See Creating a Multi-Language Project to add additional languages.

All projects include the standard Forsta Template for each email message type that participants receive from Forsta Plus Digital Diaries. When the project is created, the standard Forsta Templates are set as default for each message type received by participants. The default template is used when sending emails to participants.
1.1: Project Templates Overview
The Project Templates list displays created templates for the selected message type and available template controls.
The Project Templates list includes the following details:
Name: Name of the template
Edit: Access the email template editor on a separate page. The Edit button is not available for the standard Forsta Templates.
Duplicate: Create a clone/duplicate of the template under the same project.
-
More Settings: Displays two additional options:
Set as Default: Select the default template for the project. The default template is used when sending emails to participants. The default template cannot be deleted.
-
Delete: Delete the selected template. You will be prompted to confirm the deletion by inserting a short string of numbers. This action cannot be undone.
Note: The Delete option is disabled for the standard Forsta Templates. To delete a default template, set a different template as the default.
2: Customizing Email Templates
To create a new custom email template, select the appropriate tab: Digest message, Invitation, New message, New comment, New like.
Then click the Duplicate button on an existing template.
.
A dialog pop-up will display, allowing you to set the name of the new, duplicate template. Once you have input the desired name for the template, click Duplicate to create it.
Note: Templates in the same project must have unique names.
Once the new template has been created, click Edit (the pencil icon) to open the template editor page, where you can customize your template.
The template editor page contains the following components:
1. Edit Title: Change the name of your template.
2. Language by Segments: Make customizations to any of the languages set for the segments in the project. The standard Forsta templates have already been translated and you can make any additional changes as desired.
Tip: Save edits before switching to a different language.
Note: Changes made to the English version of the template do not transfer to the other language versions.
3. Subject line: Customize the subject line of the email notification. The default subject automatically pipes the name of the study variable. You can use up to 256 characters for this field.
4. Email message body: Customize the body of the participant invitation email message, including text and variables. When you click in the message body, the text formatting bar will display, allowing you to format the plain text and the variables.
-
Variables can be moved around in the templates by dragging and dropping, as well as copy and pasting. Their appearance can also be formatted.
Optional variables (highlighted in blue) can be removed from the template.
Mandatory variables (in gray) cannot be removed, as they display important project information.
5. Add Variables: Add other optional variables, to display additional project information.
6. Preview: Open a preview of the template you are customizing to verify its appearance before saving the changes.
Note: If white label branding is applied for your account, the previews of the templates will take your specific logo and color into consideration.
7. Save and Cancel: Save or discard the changes that you made to the template, as appropriate.
2.1: Copying Templates from Other Projects
If you have multiple projects, you can copy a template from one of your other projects to use in your current project.
In the Project Templates list, open the Other Projects Templates” menu. A list of your projects, with at least one non-standard Forsta template, will display. Select a template from the project to duplicate and rename the template. Once complete, the template will appear in the project.
